Voicemail can be sent directly to your email for easy, on-the-go listening with an attached audio file. You can also easily mark voicemails as read and, with Office Pro, you can get easy-to-read voicemail transcriptions to save you time.
All voicemail settings are managed via Ooma Office Manager. Although administrators are responsible for enabling and disabling user accounts, they cannot listen to a user’s voicemail messages – users have direct control over their settings and the way they use their voicemail accounts.
Setting up your voicemail with Ooma Office
You can also opt for an automated computerized greeting with your recorded name. Your setup will vary depending on the type of device you are using.

You can listen to Ooma Office voicemail through several methods:
- On your IP phone by pressing the Message or Voicemail button and following the voice prompts.
- From another phone by dialing your extension and entering your PIN.
- Through the mobile app or Ooma End User Portal to play messages directly.
- Via email if voicemail notifications are enabled — audio files arrive as .mp3 attachments.
With voicemail forwarding or email notifications enabled, Ooma Office can send your voicemail messages to your email inbox as audio attachments. In Office Pro and Pro Plus plans, voicemail can also be transcribed into readable text so you can quickly scan messages without listening.
As an admin in Office Manager:
- Log in and go to Settings.
- Find the user whose voicemail email notifications you want to update and click the Gear icon.
- Under the Voicemail tab, toggle the checkbox to enable or disable emailed voicemail notifications and click Save.
To update voicemail settings:
- Log in to the End User Portal or desktop app.
- Navigate to Voicemail in the settings area.
From there you can change your voicemail greeting, update your PIN, opt to skip default instructions (go right to the beep), and enable/disable email notifications. Be sure to save your changes
Ooma Office allows users to customize their voicemail greeting to match their business needs and communication style. Supported greeting options include:
- Custom recorded greeting
You can record or upload your own personalized message for callers.
Example: “Thank you for calling Acme Solutions. You’ve reached Jamie in Sales. I’m unable to take your call right now, but please leave your name, number, and a brief message, and I’ll get back to you as soon as possible.” - Text-to-speech greeting
You can type out a custom greeting and Ooma Office will read it out to callers. You can also choose between a number of voices to read the message, including in American, British and Australian English, Spanish, Danish and French.
Example: “You have reached the voicemail box for Jamie Smith. Please leave a message after the tone.” - Default greeting without system instructions (skip to the beep)
The default greeting is set automatically if you do not choose one, it’ll simply greet the caller and tell them to leave a message. You can choose to remove default instructions, so callers hear only the greeting followed by the tone.
Example: “You’ve reached Acme Solutions. Please leave a message.”
All voicemail greetings can be recorded or updated at any time through the End User Portal or voicemail settings, allowing businesses to keep messaging current and professional.
Each Ooma Office voicemail box can hold up to 400 new and saved voicemail messages, giving users plenty of message storage before needing to delete or manage old voicemails.
