How to set up a Shared Voicemail Box (Pro Plus)

If you’d like to set up a Shared Voicemail Box to enable multiple users to check messagespro plus, follow the instructions below:

  1. Log in to office.ooma.com as an administrator and navigate to the Settings page.
  2. Use the Add menu to select Shared Voicemail Box.
  3. Name the voicemail box and choose a PIN that can be used to access it.

You can also update the following settings:

  1. Time Zone: Choose a different time zone than your company’s default.
  2. Skip default voicemail instructions for callers: Roll calls directly to voicemail without playing a message first.
  3. Enable new voicemail to email notifications: Email notifications to all members whenever a new message comes in. Use the After email notification menu to select what happens to messages once an email has been sent.
  4. Select Next.
  5. Choose an Extension Number for the new voicemail box. You can optionally assign a direct phone number to the voicemail box (additional charges may apply).
  6. Select Next.
  7. Use the Add Members menu to add up to 10 users who will have access to this voicemail box. You can also add up to five additional email addresses that will receive email notifications. Be sure to use the Enter key to separate each email address onto a new line.
  8. Select Next.
  9. Either select the Skip Greeting option or add a greeting. You can choose between the Ooma Text-to-speech feature or you can upload a .mp3 file of your own.
  10. Save to complete the setup.

Once you have created a Shared Voicemail Box, you can transfer calls to it just like you would any other extension. It will appear as an option for call transfers in shared extensions like Ring Groups and the Virtual Receptionist.
