How to add Virtual Fax to a user’s extension

Last Updated: July 21, 2025

Any user can send and receive virtual faxes once the free Virtual Fax feature is added to their extension. You can add Virtual Fax to a user’s extension by following these instructions:

  1. Log in to office.ooma.com as an administrator and navigate to the Settings page.
  2. Click the Add menu and choose Virtual Fax.
  3. Pick the phone number that will be assigned to the Virtual Fax. A phone number has been pre-selected based on your company’s main phone number, but you can choose a new one by clicking on the suggested number. Click Next.
  4. Use the dropdown list to select the extension to which you will add Virtual Fax.
  5. Click Save.

When Virtual Fax has been enabled for a user’s account, incoming faxes will be sent to the user’s email address as PDF files. They will also be available for download from the End User Portal. Outgoing faxes can be sent through the End User Portal as PDF or TIFF files.
