Reliable faxing is a necessity for most businesses. Ooma Office can send and receive faxes in two different ways: traditional faxing and Virtual Fax. Traditional faxing can be used in an office setup with a physical fax machine that is centrally located. Virtual Faxing is a flexible option that allows employees to send and receive faxes from anywhere. Depending on your company’s needs, you can set up one or both options.

Traditional Faxing

Traditional faxing leverages a physical fax machine that is connected to a Grandstream HT812 or HT814 ATA device (recommended), an Ooma Office Base Station (recommended) or to an Ooma Linx device using a standard telephone cable. It is a separate user extension with its own dedicated telephone number and extension, and that can be managed online through Ooma Office Manager. Ooma Office is compatible with most standard models of fax machine.

Virtual Fax

Virtual Fax is a digital faxing alternative that does not require a physical fax machine. All faxes are sent and received through the End User Portal, Ooma Office Manager, or the Ooma desptop app as PDF or TIFF files. Users can send multiple PDF files as a single fax, preview optional cover pages for their faxes, and enjoy the convenience of sending a Virtual Fax to multiple recipients.

The Virtual Fax feature comes with its own phone number that is linked to a specific user’s extension for direct access. Each user can have their own individual Virtual Fax setup at no additional cost. If your extension does not have Virtual Fax enabled, you may need to speak to your account administrator.
